Team Orbita ("Team Orbita," "we," "us," or "our") provides
team coordination software through our website, mobile applications, and related services (collectively, the
"Service"). This Privacy Policy explains how we collect, use, disclose, and protect information
when you use the Service.

By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
This policy should be read together with our Terms of Use.

1. Information we collect

We collect information in the following categories:

1.1 Information you provide

  • Account information, such as your name, email address, password, and email confirmation
    status.

  • Organization and team information, such as workspace or company names, team names, roles,
    invitations, and membership details.

  • Profile and roster information, such as profile photos, roster profiles, and information
    coaches or administrators enter about team participants.

  • Communications and content, such as team messages, direct messages, announcements, task
    assignments, RSVP responses, comments, reactions, and files or attachments you upload.

  • Schedule and event information, such as games, practices, locations, notes,
    weather-related details, scores, play-by-play data, and tryout evaluations or check-in information.

  • Support and correspondence, such as messages you send to us by email or through support
    channels.

  • Payment information, if you purchase paid features. Payment card details are processed by
    third-party payment providers; we do not store full payment card numbers on our servers.

1.2 Information collected automatically

  • Device and usage information, such as browser type, device type, operating system, app
    version, IP address, general location derived from IP, pages or screens viewed, and actions taken in the
    Service.

  • Log and security information, such as authentication events, API requests, error logs, and
    data used to detect abuse or protect the Service.

  • Push notification tokens, if you enable notifications on a mobile device.

  • Cookies and similar technologies on our website, as described in Section 6 below.

1.3 Information from others

If a coach, administrator, or another user invites you to a team or workspace, we receive information needed to
send the invitation and create or link your account, such as your email address and the team you were invited
to join.

2. How we use information

We use information to:

  • Provide, operate, maintain, and improve the Service

  • Create and manage accounts, teams, workspaces, and permissions

  • Deliver schedules, messages, announcements, notifications, and other team coordination features

  • Process invitations, RSVPs, tasks, live scoring, tryouts, and related workflows

  • Provide AI-assisted features that help draft communications or answer team-related questions

  • Send service, security, and transactional communications

  • Monitor performance, troubleshoot issues, and protect against fraud, abuse, and security threats

  • Analyze usage trends and product performance

  • Comply with legal obligations and enforce our Terms of Use

  • Develop new features and plan product improvements

3. How we share information

We do not sell your personal information. We may share information in these situations:

3.1 With other users in your teams and workspaces

Information you submit within a team or workspace — such as messages, announcements, schedule details, RSVPs,
tasks, scores, and profile information visible in the product — is shared with other members according to team
roles and permissions. Workspace owners, coaches, and administrators control many of these sharing settings.

3.2 With service providers

We use trusted vendors to help us operate the Service. They may process information on our behalf for purposes
such as hosting, storage, email delivery, push notifications, analytics, customer support, payment processing,
mapping or weather data, and AI model providers. These providers are authorized to use information only as
needed to perform services for us and subject to contractual protections.

Examples of categories of providers we may use include:

  • Cloud hosting and file storage providers

  • Email delivery services

  • Mobile push notification services

  • Analytics providers, including Google Analytics on the web and Firebase Analytics in our mobile apps

  • Payment processors, when paid features are offered

  • AI and machine-learning service providers that power assistant features

3.3 For legal and safety reasons

We may disclose information if we believe it is reasonably necessary to comply with law, regulation, legal
process, or governmental request; to protect the rights, property, or safety of Team Orbita, our users, or
others; or to investigate fraud, security, or technical issues.

3.4 Business transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets,
information may be transferred as part of that transaction, subject to this Privacy Policy or a successor
policy with notice as required by law.

3.5 With your direction

We may share information when you ask us to do so or when you choose to integrate with a third-party service,
such as exporting an event to an external calendar or opening a third-party map or payment page.

4. AI features

Some parts of the Service use artificial intelligence to help users draft messages, summarize team information,
or answer questions. When you use these features, we may process your prompts, relevant team context, and
generated responses to provide the feature, maintain conversation history where the product supports saved
chats, improve reliability, and protect against misuse.

AI output may be inaccurate or incomplete. Do not submit sensitive personal information through AI features
unless you are comfortable with how that information will be processed. We may use third-party AI providers to
deliver these features.

5. Information about minors

The Service is not directed to children under 13, and we do not knowingly collect personal information directly
from children under 13. If you are under 13, do not create an account or provide personal information to us.

Teams often include minors, and coaches or guardians may enter roster, tryout, or participation information
about minors. In those cases, the adult who submits the information is responsible for having appropriate
authority and for informing participants and guardians as required by applicable law.

6. Cookies and analytics

On our website, we use cookies and similar technologies to operate the Service, remember preferences, and
understand how the site is used.

  • Essential cookies and storage help maintain sign-in sessions, security, and core site
    functionality.

  • Analytics: We use Google Analytics to measure basic page views and site traffic. If you
    accept optional analytics cookies in our site banner, we may also collect additional signed-in usage events
    and associate analytics with your account identifier to understand product usage. Rejecting optional analytics
    cookies does not disable basic page-view measurement or core Service features.

  • Consent storage: Your analytics cookie choice may be stored in your browser's local
    storage so we can remember your preference.

In our mobile apps, we may use Firebase Analytics or similar tools to understand app usage, screen views, and
product events in production builds unless analytics are disabled in that environment.

You can control cookies through your browser settings. Blocking some cookies may affect certain website
features.

7. Data retention

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve
disputes, enforce agreements, and maintain security. Retention periods vary depending on the type of data and
how it is used.

When you delete your account or ask us to delete information, we will delete or de-identify information where
feasible, except where we must retain it for legal, security, or legitimate business purposes — for example,
backup copies for a limited period or records needed to resolve disputes.

8. Security

We use administrative, technical, and organizational measures designed to protect information, including access
controls, encryption in transit where supported, and monitoring for abuse. No method of transmission or
storage is completely secure, and we cannot guarantee absolute security.

You are responsible for keeping your account credentials confidential and for activity under your account.
Please notify us promptly if you believe your account has been compromised.

9. Your choices and privacy rights

Depending on where you live, you may have rights regarding your personal information, such as the right to:

  • Access information we hold about you

  • Correct inaccurate information

  • Delete certain information

  • Obtain a copy of certain information in a portable format

  • Opt out of certain processing, where applicable

  • Withdraw consent where processing is based on consent

You can update much of your account information directly in the Service. You may also adjust notification
settings on your device or within the product where available.

9.1 California residents

If you are a California resident, you may have additional rights under the California Consumer Privacy Act
(CCPA), as amended by the CPRA, including the right to know categories of personal information collected, the
right to delete personal information subject to exceptions, and the right to correct inaccurate personal
information. We do not sell or share personal information for cross-context behavioral advertising as those
terms are defined under California law.

9.2 Other U.S. state privacy laws

Residents of certain other U.S. states may have similar privacy rights. We will honor applicable rights requests
in accordance with the law that applies to you.

10. International users

Team Orbita is based in the United States. If you access the Service from outside the United States, you
understand that your information may be processed and stored in the United States and other countries where we
or our service providers operate. Data protection laws in those locations may differ from the laws where you
live.

11. Third-party links and services

The Service may contain links to third-party websites or services, or allow you to interact with third-party
tools such as calendar apps, maps, weather providers, or payment processors. We are not responsible for the
privacy practices of those third parties. We encourage you to review their privacy policies before providing
information to them.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through
the Service, by email, or by other reasonable means. The updated policy will be effective when posted unless
stated otherwise. Your continued use of the Service after the effective date means you accept the revised
